Financial Management
- Maintain for each Association a separate record of Association assets, liabilities, income, and expenses, individual members’ accounts, and individual vendor files through the use of association management software.
- Provide a monthly financial statement to the Board of Directors.
- Prepare annual operating and reserve budgets.
- Distribute year-end financials as required and provide financial information to the Association’s Certified Public Accountant for preparing the Association’s annual tax returns and IRS Form 1099s.
- Provide a check register to the Board and establish an invoice approval procedure.
- Establish and maintain bank accounts in the name of the Association.
- Ensure timely collection of unit owner fees.
Assessment Fees
- Mail or Email statements.
- Collect and process payments.
- Follow up on delinquent accounts, as needed.
Administrative Management
- Act as a liaison between the homeowners and the Board.
- Maintain an up-to-date homeowner records database.
- Document and monitor violations.
- Handle all association mailings and printings, including annual meeting notices and newsletters.
Property and Maintenance Management
- Work closely with the Board of Directors to handle all community common property repairs and maintenance.
- Work with the Board of Directors to identify both potential and existing problems.
- Issue requests for proposals for work from qualified contractors.
